What drives corporate AV costs up
- Headcount and room size. A 150-person breakout and a 900-person general session need very different systems. Bigger rooms need more speakers, more power and often delay speakers so the back row hears what the front row hears.
- Presenters and microphones. Every wireless mic needs its own channel and someone watching it. A five-person panel costs more than one keynote speaker.
- Video. Projectors, screens or large displays, plus the switching to put slides and video where everyone can see them.
- A dedicated engineer. For any event with a run of show, you want a person at the mixing desk the whole time. It's the line item planners cut most often, and the one they regret most.
- Load-in. Freight elevators, long carries and tight load-in windows add labor. Downtown hotels and high-rise venues often have strict dock schedules.
- Dates. Rehearsals, a night-before setup or a multi-day conference add labor and rental days. Busy Austin weeks like SXSW in March and Formula 1 weekend at Circuit of the Americas in October fill crew calendars early.

What brings the price down
- One room, one stage. Simple layouts are the cheapest to run.
- Using the venue's displays. If the room already has good screens, you may only need sound and a switcher.
- Booking early. Fall and spring are peak conference seasons in Austin. Booking four to six weeks out gets you the gear and crew you want.
