Use your Austin hotel's in-house AV when the event is small, the room is built for it and the quote is fair. Bring an outside AV company when the in-house quote is high, the program is complex, or your event moves between venues. Before you decide, ask the hotel exactly what it charges when you bring your own team.
Why hotel AV quotes run high
Large convention hotels in downtown Austin, like the Fairmont Austin, the JW Marriott Austin and the Hilton Austin near the Austin Convention Center, typically work with an in-house AV provider that has staff and gear in the building. Resorts like Omni Barton Creek and Lakeway Resort and Spa often work the same way.
In-house AV isn't bad. Those crews know the room, the power and the house sound system. But you're paying for convenience and a captive setup, and the quote is rarely the most competitive one you can get.
The fees to ask about before you sign
If you bring your own AV company, many hotels charge fees that protect their in-house partner. Ask your hotel sales manager about each one before you sign the venue contract:
- Patch fee. A charge to connect an outside sound system to the hotel's house speakers.
- Power or tie-in fee. A charge for the electrical drops your gear needs.
- Rigging fee. Required when anything hangs from the ceiling.
- Supervision fee. Some hotels require an in-house tech to stand by while an outside crew works.
- Insurance. Most venues require a certificate of insurance from any outside vendor.
These fees are often negotiable before you sign the venue contract. After you sign, you have little leverage.
When in-house hotel AV makes sense
- One breakout room with a projector and a podium mic
- The house sound system already covers the room well
- The outside-vendor fees would cancel out the savings
When an outside AV company makes sense
- A general session with several presenters, panels or live music
- An event that moves between venues
- You want the same crew and gear for every part of the trip
- The in-house quote is far above an outside quote, even after fees
That second point comes up most with out-of-town teams bringing an offsite to Austin. A common itinerary: a general session in a downtown hotel ballroom, dinner on Rainey Street or South Congress, then a party at an East Austin event space or a Lake Travis venue. One AV partner across all three is simpler, and usually cheaper, than three vendors.

Non-hotel venues: you'll need your own AV
Many of Austin's most popular corporate venues, from East Austin warehouses to Hill Country ranches in Dripping Springs and Driftwood, have little or no built-in sound. For those, an outside AV company isn't a choice. It's the plan. Ask the venue about power, load-in access and noise limits early.
How Soundhouse ATX works with hotels and venues
We coordinate directly with your venue's event manager. We confirm load-in times, dock access, power and any house requirements before event day. Our crew delivers, sets up, runs and strikes the system, so your team deals with one point of contact. Curious what it costs? See our corporate AV cost guide for Austin.
FAQ
Can I bring my own AV company to an Austin hotel?
Usually yes, but many hotels charge patch, power or supervision fees when you do. Ask for the full list before you sign the venue contract.
What is a patch fee?
A fee a venue charges to connect an outside AV company's equipment to its house sound system.
Is outside AV cheaper than hotel AV?
Often, even after fees. Get both quotes, add the venue's outside-vendor fees to the outside quote, and compare the totals.
Which Austin venues need an outside AV company?
Most non-hotel venues: warehouses and event spaces in East Austin, rooftops, restaurants doing a buyout, and Hill Country venues in Dripping Springs, Driftwood and Lakeway.
